A number of different file sharing mechanisms are available at the Medical School and the University of Michigan. Each provides a different mechanism for sharing files within certain limitations. The following table provides a quick comparison guide of the options; click the link in the left column for more information on a particular service.

ePHI and Sensitive Regulated Data

Only M+Box and MiShare are approved to securely exchange files that contain electronic Protected Health Information (ePHI) or other sensitive information.

ITS Sensitive Data Guide

For a list of services that can be used for specific data types, consult the Sensitive Data Guide to IT Services at the following link:

M+Box

unlimited

Cloud-based storage and collaboration system provided through ITS allowing its users to share files through links sent by email with other U-M personnel or someone at another institution.

UMICH (Level-1)
Current U-M students, faculty and staff are eligible to open accounts. M+Box storage accounts are not available to those with alumni or friend accounts.

Approved for ePHI
As of September 2014, M+Box has been approved for the storage of ePHI, though with a few caveats. See the M+Box page for more information.

MFile

Web-based file sharing system provided by ITS allowing its users to share files through the web or via SFTP with other U-M users.

UMICH (Level-1)
IFS Personal Storage is available to all eligible U-M individuals as part of their Standard Computing Services.

MFile should not be used for business functions and should never be used, even temporarily, for storing ePHI.

MiShare

Temporary storage

Secure collaborative file exchange system provided by MCIT allowing its users to send files, in the form of packages, to other UMHS personnel or someone at another institution.

Michigan Medicine (Level-2)
Anyone with a Level-2 account and password can authenticate to send files. Non-UMHS individuals can also send packages to a UMHS person.

Approved for ePHI
The MiShare infrastructure provides a method approved by the UMHS Compliance Office for UMHS personnel and non-UMHS business partners to securely exchange files, including files that contain electronic Protected Health Information (ePHI) or other sensitive information.

Xythos

Web-based file sharing system provided by MSIS allowing its users to share files via the Ticket system to other UMHS personnel or someone at another institution.

UMICH (Level-1)
Access is limited to UM Medical School faculty, staff, and associates. MSIS must create accounts.

Xythos should never be used, even temporarily, for storing ePHI.
